As our Travel Coordinator, you will work to support our internal guests on all aspects of travel whilst always delivering unreasonable hospitality. You will work closely with our nominated travel provider to help our internal guests navigate their way through the complexities of travel.

What you will be doing

  • Ensure high standards of service to internal guests at all levels of the organisation.
  • Efficiently supporting travel user queries and support on SAP Concur, Conferma, Evolvi Rail.
  • Help travellers in relation to flight information, times, and schedules.
  • Daily flight checks to ascertain any delays and cancellations.
  • Keep varied calendars with scheduled conference dates, and busy hotel periods.
  • Provide accurate and timely reports against budget, out of policy and other management reports.
  • Update the approved corporate hotel/taxi list on a regular basis, consulting with other Villages for correct and current information.
  • Assist with flight options and costs for press trips.
  • Book and coordinate conference flights, ensuring minimal requirement for taxis by having arrival and departures around the same times.
  • Event Management by consulting with suppliers to find venues, negotiate hotel rates and contracts and to oversee the smooth running of an event from a travel perspective.
  • Requirement to work on site within UK and overseas during major internal events.
  • Review, update, and maintain travel policies across the Group as well as the intranet pages up to date and accurate.
  • Keep accurate records and analysis of business travel costs and activities.
  • Requirement to be on call in the evenings and weekends on a rota basis within the team to support any crisis management.
